Who we are
Centaurs Rugby is a youth rugby club based in Singapore, operated by Centaurs Rugby Club Limited, UEN 202629332W, a company limited by guarantee. We run training sessions every Sunday morning at Singapore American School, 40 Woodlands Street 41.
For the purposes of Singapore's Personal Data Protection Act 2012, Centaurs Rugby Club Limited is the organisation responsible for your personal data.

What we collect and why
We collect personal information about you and your child for specific purposes only.
When you book a free trial
We collect the parent or guardian name, contact number, and email address so we can confirm the booking and introduce you to the coach. We collect your child's name, date of birth, and gender so we can place them in the right age group. We ask about rugby experience so the coach knows how to welcome your child on their first session.
When you register
Everything from the trial booking above, plus the following. We collect an emergency contact name, relationship, and phone number so we can reach someone if we cannot reach you during training. We collect medical conditions, allergies, and medications so your child's coaching team is aware of anything that could affect their safety on the pitch. This information is encrypted before storage and only shared with your child's coaching team.
When you pay
Fees are invoiced via Xero and paid by PayNow through HitPay. PayNow is a bank transfer. No card details are collected or stored at any point by Centaurs Rugby, HitPay, or Xero. HitPay and Xero have their own privacy policies which govern transaction records.
We also ask separately whether you consent to photographs or videos of your child being used on the centaursrugby.com website and social media channels. This consent is recorded against your registration and can be withdrawn at any time.
What we do not collect
We do not collect passport numbers, home addresses, nationalities, school year groups, or doctor details. These were previously collected and are no longer required.
How we use your information
We use your information to manage your child's registration, to talk to you about training and club news, to process fees and send invoices, and to keep your child safe on the pitch. That last one means the coaching team is aware of any medical needs.
We do not use your information for marketing by third parties. We do not sell your data. Ever.
Who we share it with
We share your information only with the people and services needed to run the club.
Coaching team. Receives your child's name, age group, and relevant medical information for the sessions they run.
Xero is our accounting software. It is used to create and manage invoices.
HitPay is our payment processor for PayNow bank transfers.
Resend is our email delivery service. It sends confirmation emails on our behalf.
We do not share your data with anyone else without your consent, except where required by Singapore law.
Transfers outside Singapore
Some of the services we use may process data outside Singapore. These include Xero, HitPay, Resend, and Cloudflare. Where this occurs, we require these providers to meet data protection standards comparable to those under the PDPA.
How we keep it safe
Member data is stored securely on Cloudflare's infrastructure. Cloudflare may process data across its global network including facilities outside Singapore. Cloudflare does not sell or share your data and processes it only to provide services to Centaurs Rugby.
Medical conditions, allergies, and medications are encrypted before storage using strong encryption. The encryption key is held securely and never stored alongside the data.
Access to the database is restricted to authorised Centaurs Rugby systems only. No direct public access is permitted.
How long we keep your data
We retain member data for as long as your child is registered with Centaurs Rugby, plus a period of 3 years following the end of membership. Financial records are retained for 7 years in accordance with Singapore law.
If you would like your data deleted before this period, please contact us at membership@centaursrugby.com. We will anonymise your record rather than deleting it entirely, to preserve accurate registration counts while removing all personal information. Waiver version and timestamp are always retained as part of the legal record.

Your rights under the PDPA
Under Singapore's Personal Data Protection Act 2012 you have the right to:
Access. Ask us what personal data we hold about you and your child.
Correction. Ask us to correct any inaccurate or incomplete data.
Withdrawal of consent. Withdraw your consent at any time. This may affect your child's ability to participate if the data is required for their safety on the pitch.
Deletion. Ask us to delete your personal data. We will anonymise your record rather than delete it entirely, to preserve accurate historical records. Waiver version and timestamp are always retained as part of the legal record.

centaursrugby.com does not use tracking cookies or advertising cookies. The site may use essential cookies required for basic functionality. No third-party analytics cookies are used.
Changes to this policy
We may update this policy from time to time. The date at the top of this page shows when it was last updated. If we make significant changes we will let current members know by email.
